Mulberry’s terms and conditions are set out herein to ensure that both signing parties understand the project/work/tasks to be carried out, the costs involved, the time scale set for completion, payment protocols, and procedures for resolution of difficulties.
All work is saved on a secure external hard drive. Back-up copies of all clients' files are kept for a period of three months only, after which time such files will be deleted. The most up-to-date firewalls and virus scanning software have also been installed. Due to computer viruses, all incoming emails will be virus scanned. Mulberry will not open unsolicited attachments to emails or emails containing no subject heading or message supporting the attachment.
A Booking Form must be completed and returned to Mulberry via email, fax or post before any work is undertaken. The Booking Form will set out:
• The assignment and any specific requirements
• The time frame: Expected hours for completion of project: Agreed deadline
• Expected cost
Completion of the Booking Form indicates the client’s acceptance of Mulberry’s Terms & Conditions which set expectations on both sides and gives each of us peace of mind. Should the client’s original requirements change, a revised quotation will be submitted for approval prior to any further work being carried out.

Mulberry acknowledges that in the course of the Engagement, it will have access to Confidential Information. Mulberry shall not either during the Engagement or at any time after the completion of work, disclose to any person, firm or company any Confidential Information. All work undertaken by Mulberry will be treated as strictly confidential. This code of conduct does not apply to any information which is already in the public domain.
Mulberry will take all reasonable precautions to safeguard property belonging to its clients. However, Mulberry cannot be held responsible for any loss, damage, theft of data, projects, equipment or any items relating to assignments during transit to and from or whilst at Mulberry’s premises.
Clients are advised to make copies of all data and information prior to submitting to Mulberry.
For insurance and safety reasons, Mulberry does not permit personal visits to its premises unless by prior arrangement.
All original documents should be sent via a traceable method of delivery, either by post office Recorded Delivery or courier.
Mulberry charges by the hour, a minimum of 1 hour is required, thereafter the hourly rate is billed in increments of 15 minutes, with time rounded up to the nearest quarter of an hour.
Mulberry requires 50% deposit prior to the commencement of all work, the balance to be paid on completion of work in full and final settlement. Invoices will be transmitted by email upon completion of work. Payment terms for the balance are 14 days from the date of the invoice.
Payment may be made by bank transfer or by cheque. If the bank returns a cheque, the client will be responsible for all bank charges resulting from the returned cheque.
Mulberry will require immediate payment at the agreed rate for any work carried out prior to suspension, delay or cancellation through any default of the client.
For ongoing support it might be more cost effective to book a retainer package.
Mulberry can offer reduced hourly retainer rates for clients who need its services for a minimum of 10 hours or more per month. Any work over and above the designated hours will be charged by the standard hourly rate. All hours will be logged and a detailed worksheet will be enclosed with the invoice at the end of the calendar month.
A deposit of 50% is required for any selected retainer package prior to the commencement of all work. Once your hours are used up, you will be notified prior to completing any more work. Unused hours DO NOT roll-over to the following month.
Final responsibility for proof reading and checking of all work rests with the client. Mulberry cannot accept responsibility for errors found after agreed final submission.
Mulberry must be notified of any errors within 7 days of receipt of the completed work. Any errors will be amended free of charge. After 7 days any errors/amendments generated by the client will be charged at the agreed hourly rate.
Mulberry is only liable for the cost of the work. Mulberry does not acknowledge any further liability. Clients are solely responsible for abiding by any copyright laws, plagiarism laws, and publishing requirements. Mulberry will assume no responsibility for any plagiarised material supplied by a client and reserves the right to reject and return work which it finds to be illegal, immoral or objectionable.
• Audio Transcription All forms of digital audio transcription undertaken – please be aware the industry standard is that 10-15 minutes of audio can take approximately 1 hour to transcribe.
• Typing A maximum of 5 pages (single sided) are included in the hourly rate – approx 400 words per page
